Terms and Conditions

1. CHECK IN

Your dog will be booked onto our system once we have received your 50% deposit, returned booking forms & a copy of your pooches vaccination card. You will then receive a confirmation email which secures your booking.

We reserve the right to re-let the room in 24 hours from the arrival date and time in a case of not checking in on the due date. You will be liable for full payment of fees, due upon receipt of invoice.

2. FINANCIAL – DEPOSITS/PAYMENTS/CANCELLATION

A booking will not be confirmed until the deposit has been paid, the booking form & personal info sheet has been received and a confirmation has been sent to you.

A 50% non-refundable/ transferrable deposit is required when making your booking, payable by cash or bank transfer. Balance is due 14 days prior to departure and any extras will be included on your final invoice.

If the cost of your reservation is under £120, the total amount payable will be due at the time of booking.

If the booking is made within 28 days of the arrival date, then the total amount of the booking is payable at the time of booking.

All dates booked are chargeable in full unless 28 days’ notice, prior to arrival date, is given.

If you do not notify us of a cancellation, the full amount of the booking is chargeable for the period booked.

If the booking is changed, once booked, to a shorter period we regret we will have to charge for the full booking.

Should you wish to cancel your booking, we regret we are unable to transfer the deposit to another booking.

The final invoice is to be paid prior to arrival (14 days before check in). If this is not completed then your dog will remain at Pooch Palace until payment is made. There will be an additional charge, at normal rate, for all additional time spent at Pooch Palace.

 

3. CHECK OUT

If your dog is checked out earlier than original booked date, we regret that the full booking amount will be charged.

Any dog not collected after 14 days of the checkout date, with no communication form the owner, will be re-homed at the discretion of Pooch Palace and the owner reported to the relevant authority. Payment of the full invoice including additional days (at full rate) will be payable upon presentation of invoice.

4. LATE COLLECTION

Anyone arriving after 10:30am between Monday and Friday, including weekends will incur an additional £28 daycare charge. A late collection over the weekend will automatically be charged at an additional overnight fee (based on the rate agreed at the time of existing booking) and collection will be arranged the following day. Food that is not supplied by yourselves for the additional stay over will be supplied by us at an added cost to you. All outstanding balances must be paid via BACS before collection of your dog.

5. CHARGES

Refer to current listed pricing on our website. Please note that pricing can change at any stage during a time of booking.

 

6. REQUIRED VACCINATIONS

It is a requirement that your dog holds a valid certificate. All vaccination cards will need to be inspected upon arrival and Pooch Place will be unable to accept your dog without this paperwork. However, full fees for the whole booking will remain payable.

Vaccinations required include Canine Distemper and Leptospirosis (Lepto 2 or Lepto 4) 

Kennel Cough- This is not included in your normal routine vaccine; you will need to request it from your vet. Kennel Cough vaccine must be administered at least 14 days prior to arrival.

Although the kennel cough vaccine will offer good protection from the infectious disease, it does not cover all strains of the virus. Therefore, there is no guarantee when placing your dog in any environment where there are several dogs, that your dog will not contract a mild version of the infection if a dog in close proximity is infected. However, Pooch Place takes every precaution to prevent infection by cleansing and disinfecting all furnishings after each and every guest.

Worms/Fleas - Your dog should be treated for worms/fleas prior to their stay at Pooch Palace.

 

7. HEALTH

We reserve the right to refuse any dog that is obviously unwell at check in.

In the event of one of our guests being unwell during their stay with us, our local vets offer 24hr cover and call-out (you will always be our first point of contact via phone call/email to confirm your dogs welfare, if we are unable to contact you directly, your emergency contact will be called).

Any vet fees will be added to your final invoice.

Whilst every care and attention is given to every dog in our care each dog is boarded entirely at the owners risk. We cannot be held responsible for loss of life or illness from whatever cause.

 If your dog struggles during their stay with us with separation anxiety (gastro symptoms or any other anxiety caused illness) you will be required to collect your dog within 2 hours of contact, if failure to do so your emergency contact will be required to collect.

8. MEDICINES

We require to be informed at least 1 week before your dogs stay with us if they are on any medication.

We are happy to administer prescribed oral or topical medicines. On checking in, we will complete a form listing any medicines, creams or drops your dog is taking. You will be asked to check and sign, giving consent for us to give the required medicines.

 If they are taking regular medication we require a set of instructions emailed to us 1 week prior to their stay with us.

We cannot be held responsible if your dog refuses to take their medication and are not liable for any ongoing illness caused by refusal to take medication. if any of our staff members are concerned at any time with illness or medication, you will be required to collect your dog or it will be taken to a local vets and you will be responsible for any veterinary fees

9. DOGS WE CANNOT ACCOMMODATE

Bitches due in season may only board at our discretion.

Un-neutered males may only board at our discretion.

Because we offer a small friendly environment, we cannot accept dogs that show aggression to other dogs or people, whilst on or off the lead.

If your dog becomes aggressive or destructive, your nominated emergency person will be contacted. In the event of us being unable to gain contact with your emergency person, we may place your dog in normal kennels and that cost is to be settled by yourself, along with our invoice. You will be responsible for costs of repair or replacement of damaged items by your dog, payable on production of our invoice.

Barkers - Constant barking is stressful for both the dog that is barking and for other guests. If you know that your dog will bark constantly, we regret Pooch Palace will be unsuitable for your dog and your nominated emergency contact will be called.

Pooch Palace aims to replicate a home environment for your dog. Therefore, we expect your dog to be house trained.

Please note that failure to disclose any information about your dog’s behaviour that may result in injury or damage as a result, will be payable by you including washing of bedding and blankets.

We will do everything we possibly can to make sure your pooch stays comfortable whilst you’re away. However, sometimes your pooch can struggle during the night whether it be the 1st night, midway through or towards the end of their holiday with us. Sometimes your pooch just wants to go home and decides they no longer want to stay with us. In this scenario, your nominated emergency contact will need to be able to collect your pooch within a 2 hour period of being notified by Pooch Palace. We will first contact you (the owner) to report any issues that may arise. There will be no refunds issued should your pooch’s stay be shorter than the original booking.

 

10. SAFETY

It is a requirement that your dog’s collar remains on during a stay at Pooch Palace. An identification disc, with your information on, should be present. Alongside this we will place our own identification disc, for additional security.

We will not walk dogs off the lead.

 

11. INSURANCE

Our liability insurance will be in place during the stay (copy available on request)

Our insurance does not cover any veterinary fees. These fees will remain your responsibility.

 

12. PERSONAL BELONGINGS

You’re are welcome to bring any toys, bedding etc. that will help your dog settle during the stay.

All personal belongings are left at owner’s risk.

13. TASTER DAYS

For some guests, based on information you have provided to us, we require a taster day to take place before your first booking to ensure your dog is a suitable fit for our facilities. This helps us maintain our high standards of safety and wellbeing and provides guests with the best environment possible. At our discretion, we may decide your dog is not suitable during their taster day and in some cases will request your dog to be collected immediately if they pose a danger to our staff or other guests or if they are affecting our ability to provide other guests with our standard level of service. We usually will provide you with our reasons for why we have decided your dog is not suitable but please note we reserve the right to end your taster day at any time. Your taster day will be charged at our current daycare rates which is a flat rate and non refundable. If your dog is not suitable you will be refunded any deposits made for future bookings.
